Rentals & infrastructure checklist

• Tables, chairs and linens for the confirmed guest count.
• Tent or shade structure, including sidewalls in case of wind or rain.
• Lighting for after dark: string lights, lanterns or uplighting.
• Restroom trailer or portable restrooms, if the home's bathrooms can't accommodate the guest count.

• Set a clear decision deadline and a single person responsible for calling the backup plan.
• Confirm with vendors what their policy is if the weather plan changes last minute.

Neighbors & logistics checklist

• Notify neighbors ahead of time about the date, expected noise and parking impact.
• Check local noise ordinances and amplified-sound cutoff times.
• Plan a guest parking and arrival flow that doesn't block driveways or streets.
• Arrange pet care or a designated space if pets live at the property.
• Confirm trash pickup or removal plans for after the event.

Day-of setup & breakdown checklist

• Confirm rental delivery and pickup windows with enough buffer before and after the event.
• Assign a setup crew and give them a simple layout diagram.
• Walk the space the morning of for lawn maintenance, sprinklers off and any last-minute hazards.
• Designate someone other than the couple to manage breakdown and returns.
• Plan for leftover food, flowers and rental pickup the following day if needed.
